WhatsApp in
Microsoft Teams, for your whole team
One business WhatsApp number that several colleagues work from, with assignment and a full conversation history. Straight into Microsoft Teams, without a separate app.
The regular app was built for one person with one phone
WhatsApp is the obvious way for most people in the Netherlands to get in touch. For organisations it is not: the moment several colleagues have to work from the same number, the app runs into its limits. That shows up in three ways: contact runs through personal phones, customer contact gets scattered across channels, and whoever takes over a conversation misses the context from earlier. Those three pages are in Dutch.
With the regular WhatsApp Business app
- A maximum of five users on one number.
- You cannot see anywhere who picked up a conversation.
- Contact often runs through employees’ personal numbers.
- The history sits on one handset, which you do not manage.
- Messages and attachments stay on that handset, also when that employee is away.
With Entell in Microsoft Teams
- One business number for the whole organisation, without a user limit.
- Assign to a colleague or team through your Microsoft 365 groups.
- Employees work from the company number, not from their own handset.
- A full history, also during absence or staff changes.
- Messages arrive in the environment you manage. At Meta only images and attachments remain, for thirty days at most.
Can WhatsApp run in Microsoft Teams?
Yes, but not with the regular WhatsApp app: Microsoft Teams has no built-in connection for it. Integrating WhatsApp into Teams goes through the WhatsApp Business Platform from Meta. Entell puts that connection on your business number and brings the conversations into Teams, so your whole team answers them from Teams.
Microsoft does not supply it
There is no WhatsApp integration inside Microsoft Teams. Anyone who wants WhatsApp in Teams needs a provider that handles the connection with Meta and turns it into an app that fits in Teams.
Through Meta’s platform
The WhatsApp Business Platform is the business side of WhatsApp: not an app on a phone, but a connection on a number that Meta has verified. You will also see it under its older name, the WhatsApp Business API. That is what removes the limit of five users.
In Teams, not beside it
Entell runs as an app inside Teams. Your colleagues work in the window they already have open all day; no second screen and no separate handset is added.
From incoming message to finished conversation
The message arrives on your business number, gets an answer of its own outside office hours, goes to the colleague who picks it up and is summarised at the customer afterwards. All in Microsoft Teams, without a separate app and without a separate handset.
- One business number for your whole team, without the limit of five users
- Assignment to a colleague or team, through the Microsoft 365 groups you already have
- Full control over who picks up what, and what is still open
- Automatic replies outside your opening hours
- Template messages from Meta, to start a conversation yourself
- Photos, documents and voice messages, just like in the regular app
- A full history per customer, alongside the phone calls
- Notes on a conversation, with the colleague’s name attached
After the conversation a summary is already there
Every WhatsApp conversation is summarised automatically, with the agreements pulled out as action points you can tick off. It notes how the conversation went, so a run of difficult conversations with the same customer stands out earlier.
It is a draft: your employee reads it back and corrects what is wrong. The language model runs on our own servers in the Netherlands, so the content of the conversation does not go to an outside provider and nothing from that processing is kept.
What AI adds (in Dutch)What to know before you begin
WhatsApp Business runs through Meta, and Meta sets a few conditions. They do not come from us, but you will have to deal with them.
Meta Business account
You need a Meta Business account and a verified business profile. We guide you through it.
Verification by Meta
Meta checks your company details. Often that is done within a few hours; if Meta asks for extra documents, it takes a number of days. We guide it, but Meta sets the pace.
Automatic replies
Automatic replies outside office hours are possible, but keep them short and honest; customers see through empty promises.

Set up channels and ways of working
Together we set up WhatsApp, calling and the address book around how you work. Bringing your existing numbers? We plan the port with your current provider.
Work from Teams
Your colleagues call, message and see who is getting in touch, from the environment they already know. When a customer who messaged earlier calls, that history is right there.
No Microsoft Teams yet? As a Microsoft partner, Klout, the company behind Entell, helps with the rollout. Call us or book a conversation.
What organisations notice after switching
Onbudget
As budget coaches we have a lot of personal contact with clients, often at moments when acting quickly matters. With Entell, telephony and WhatsApp come together in Microsoft Teams, which makes us easier to reach and keeps the overview. We can pick up conversations faster, work together better and help clients more easily without constantly switching between systems. The implementation went smoothly, and afterwards they still think along quickly and clearly.

Frequently asked questions about WhatsApp in Teams
How do you connect WhatsApp to Microsoft Teams?
Setting up WhatsApp in Teams takes three steps: you apply for a Meta Business account, have your company details verified by Meta, and then connect your business number to the WhatsApp Business Platform. Entell installs the app in your Microsoft 365 environment and sets up assignment on the groups you already have. We guide every step; how long it takes depends on how quickly Meta completes the verification.
Is there a business version of WhatsApp?
Two, in fact. The regular WhatsApp Business app is meant for small organisations and stops at five users on one phone. Alongside it there is the WhatsApp Business Platform, formerly the WhatsApp Business API: not an app, but a connection on a verified number, without a user limit. Entell works with the second one.
Which is safer for customer contact, Teams or WhatsApp?
The difference is not the encryption but where the messages end up. The regular WhatsApp app keeps conversations on your employee’s handset, which you do not manage; if that phone is lost or that colleague leaves, your customer contact goes with it. Through Teams the messages arrive in the environment you manage, with the roles and rights from your own Microsoft 365. At Meta only images and attachments remain, for thirty days at most.
Should we replace WhatsApp with Teams instead?
For talking to colleagues, yes. An internal WhatsApp group really belongs in Teams: the history stays under your own control, your own permissions apply, and it does not run through an employee’s personal phone. For customer contact that does not hold, because your customer is not going to come to Teams. They will keep messaging. So this page is about the other direction: bringing customer contact out of WhatsApp and into Teams, so your colleagues handle it from Teams.
Does Microsoft Teams have a built-in WhatsApp integration?
No. Microsoft does not supply a WhatsApp integration for Teams itself. WhatsApp in Teams always runs through the WhatsApp Business Platform from Meta, and for that you need a provider that sets up the connection. Entell does this as an app inside Teams, so no second program is added alongside Teams.
What does WhatsApp in Teams cost?
A fixed amount per user per month, including an unlimited number of conversations and a thousand outgoing messages per month. Above that you settle in bundles. What a customer sends you is free. The amounts are on the pricing page (in Dutch).
What are the advantages over the regular WhatsApp Business app?
No limit of five users, so your whole team can join. You see who picked up which conversation and what is still open. The history does not sit on an employee’s handset but in the environment you manage, so a departing colleague or a lost phone does not take your customer contact with them. And you work in Teams, so no separate screen is added.
Can we keep our existing number?
In many cases, yes. A number that is currently in the regular WhatsApp Business app can be moved to the WhatsApp Business Platform connection Entell uses. Note that one number cannot sit in both at the same time. A landline number can be used as well, as long as the verification call can be received.
What does the customer see?
The customer messages from WhatsApp as usual. They see your company name and, if you set one up, your business profile with website and address. They do not notice that you work through Teams.
How does the 24-hour rule work?
Meta applies a window of 24 hours, which starts the moment a customer sends you a message or calls you. Every new message or call resets those 24 hours. Within that window you can reply freely, without prior approval. Outside it you may only send a pre-approved template. That is a rule from Meta, not from Entell, and it applies to every provider.
What are template messages and what do they cost?
A template is a message approved in advance by Meta that lets you start a conversation outside the 24-hour window, for example an appointment reminder. Meta charges for this per delivered message, not per sent message. From 1 October 2026 Meta also charges per outgoing message, including inside the 24-hour window. With us the first thousand outgoing messages per month are part of your subscription; above that you settle in bundles. What your customer sends you stays free.
Can we message customers without asking?
No. Meta requires the customer to have given permission to be approached through WhatsApp. That can be through a form on your site, or because the customer starts the conversation. Record how and when that permission was given; under the GDPR that is sensible too.
Do group chats work?
No. The WhatsApp Business Platform connection does not support group chats. Conversations are always between your organisation and one customer.
Can the regular WhatsApp Business app keep running alongside it?
Not with the same number. A number is either in the app or in the platform connection. With a different number it can, but then you again have two places where customer contact arrives, which is exactly what you set out to solve.
What happens to the conversations already in the app?
They do not move along. The connection starts with a clean history; what is in the regular app stays there for as long as you keep that app. If you want to keep something, export it before the switch. From the moment of connecting, Entell builds the history at the contact, where colleagues can reach it too.
Can customers call that number as well?
That depends on the number. A landline or mobile number you connect to WhatsApp can also ring in Teams through the calling side of Entell, so calls and messages arrive on the same number. How that works is on Bellen in Teams (in Dutch).
How are contacts stored?
Contacts and conversations are stored in the environment you choose: your own Microsoft 365 tenant or our hosting in Europe. What exactly is processed and how long it is kept is set out in the data processing agreement.
